1. Introduction

The Write on Art Prize is organised by Art UK and the Paul Mellon Centre for Studies in British Art ('the Organisers').

These Terms and Conditions, together with any specific guidelines or rules notified by the Organisers as relevant to the Write on Art Prize, apply to entrants ('you') submitting their work for entry to the Write on Art Prize. By entering the Write on Art Prize you agree to be bound by these Terms and Conditions and you acknowledge that your personal information will be used in accordance with the Privacy Policies of the Organisers (see further section 7 below, 'Data Protection').

The Organisers reserve the right to cancel or amend the Write on Art Prize or these Terms and Conditions and related guidelines, submission deadlines, or judging criteria, at any time and without prior notice. Any such changes will be posted on the Write on Art website.

2. Write on Art Prize rules

The Write on Art Prize is only open to students in the following years who are currently enrolled in a school or home education in the United Kingdom, the Isle of Man or the Channel Islands:

England and Wales:
Years 10 & 11
Years 12 & 13​

Northern Ireland:
Years 11 & 12
Years 13 & 14

Scotland:
S3 & S4
S5 & S6

All entries must be made in accordance with the Guidelines, including Requirements for Age Categories.

Your entry will be disqualified if:

  • your details are found to be untrue. By submitting your entry, you are confirming that your names, date of birth, address, school name and school year are true

  • your entry does not contain a reference from a parent/carer, teacher, social worker, counsellor, or youth worker ('Responsible Adult') verifying that your essay was written by you

  • your entry is found to be plagiarised or contain any plagiarised material

  • your entry contains any unlawful (for example, defamatory or obscene) material

  • your entry is found to be about a work of art not found on the Art UK website as laid out in the Guidelines

  • your entry is found to be 10% over the word count as laid out in the Guidelines

  • it is found that you have submitted multiple entries

3. Awarding process

Monetary prizes (as set out on the Write on Art pages of the Art UK website) will be awarded to winners either at or after the awards ceremony. Winning essays will be published after the awards ceremony at an appropriate date.

All decisions made by the Write on Art judges, including the selection of winning entries, are final. Unfortunately, we will not be able to provide feedback for unsuccessful entries.

Unsuccessful entrants, including those who made the shortlist but did not win, are encouraged to enter again in the appropriate category.

4. Copyright permissions for winning entries

By submitting entries, you hereby grant to each of the Organisers a non-exclusive, royalty-free, irrevocable copyright licence to reproduce your essay/work for the purposes of evaluating your entry. Such copyright licence shall include the right for each of the Organisers to store, distribute, transmit, communicate and adapt the work in accordance with the applicable copyright law.

As part of the prize, winners of the Write on Art Prize will have their work published on the Art UK and Paul Mellon Centre websites and social media channels. In order to publish the winning entries, written copyright permission will be required from each winner in advance.

Copyright permission can be granted by the entrant if aged 18 years and over. If the entrant is aged under 18 years, copyright permission must be given by a responsible adult. A responsible adult for these purposes is defined as a parent/carer, teacher, social worker, counsellor, or youth worker. If the individual is aged 18 and over, but unable to communicate their own consent, an agreement will be sought via a responsible adult.

If copyright permission is not granted, the Organisers will not publish the essay in question.

You will be credited in all reproductions of your work.

5. Filming and Photography

In the event of any filming or photography by Art UK or the Paul Mellon Centre at a Write on Art event, the permission of the attendees will be sought in advance. All attendees will be asked to sign a Model Release.

This can be signed by the individual if aged 18 years and over. If the individual is aged under 18 years, the release must be signed by a responsible adult. If the individual is aged 18 and over, but unable to communicate their own consent, an agreement will be sought via their responsible adult.

If permission is not granted, Art UK and/or the Paul Mellon Centre (as applicable) will endeavour not to capture the individual in question on film or in photographs of the event.

The Organisers will not publish the name or identifying details of a child, young person or vulnerable adult alongside their image. This excludes winning candidates, whose image, name and/or school may be used during the promotion of the prize-winning entries.

If permission is not granted by a winning candidate, the Organisers will endeavour not to document the involvement of the individual in question.

6. Expenses

Unfortunately, the Organisers cannot be responsible for any expenses that result from entrants submitting an essay for the Write on Art Prize.

The Organisers may be able to assist shortlisted candidates with expenses arising from travel to the awards ceremony. This assistance will be reviewed on a case-by-case basis and is not guaranteed.

7. Data protection

The Organisers are committed to protecting your privacy and will use all personal data supplied by you in connection with your entry in compliance with the Data Protection Act 2018 and the General Data Protection Regulation. For more information on this please see the Art UK and Paul Mellon Centre privacy policies.

By agreeing to the terms and conditions, you are consenting to Art UK and the Paul Mellon Centre using your personal data for the administration of the Write on Art Prize. All personal data will be held securely and solely used for the purpose of administering submissions for the Write on Art Prize. Your name, school, year, and essay will be shared with the members of the judging panel and, where your entry is successful, may be published on the Art UK and Paul Mellon Centre websites, social media accounts and in the Annual Reports and newsletters.

At the end of each round of the Write on Art Prize, core information including any relevant film or photographic material on all of the entrants will be retained for historical research and evaluation purposes in the Paul Mellon Centre and Art UK Institutional Archives.

8. Safeguarding and Child Protection Policy

Art UK has an active safeguarding and child protection policy to ensure the well-being of all children, young people and vulnerable adults who engage with our organisation. Art UK and the Paul Mellon Centre agree to adhere to this policy in the delivery of the Write on Art Prize, reviewing relevant terms and conditions annually. A copy of this policy is available on request.

9. General

To the fullest extent permitted by law, the Organisers exclude their liability for any direct or indirect damages or losses of any kind arising out of anyone's participation in the Write on Art Prize, including any entrant's use of any of the monetary prizes.

If any provision of these Terms and Conditions is found to be invalid by any court having competent jurisdiction, the invalidity of that provision will not affect the validity of the remaining provisions of these terms, which shall remain in full force and effect.

The Write on Art Prize, these Terms and Conditions and any non-contractual obligations connected to them shall be governed by and construed in accordance with English law and the English courts shall have jurisdiction to resolve any issue under these Terms and Conditions.
